How To Install An Html Email Signature In Outlook Instructions

Once you have been supplied with your email signature – you will have a file that is called something like “your-signature.htm”

In order to get this to show in the Outlook application, we need to locate the Microsoft Sigantures folder in File Explorer, and place it in there.

1. Navigate to the %appdata% Folder:

  • In the address bar of File Explorer, or the search box in your task bar, type %appdata% and press Enter. This will take you to the Roaming subfolder within the AppData directory.

2. Find the Relevant Subfolder:

  • You will be in C:\Users\[YourUsername]\AppData\Roaming. From here, you can navigate to specific application folders. For example, for Microsoft Outlook, the path would be C:\Users\[YourUsername]\AppData\Roaming\Microsoft\Signatures
  • Copy your .html file to this Signatures folder.

3. Restart Outlook

  • Close and reopen Outlook to ensure it picks up the new or updated signature files.

4. Set Your Signature in Outlook

  • Open Signature Settings:
    • Go to File > Options > Mail > Signatures….
  • Select Your Signature:
    • In the Signatures and Stationery window, you should see your new signature listed. Select it and set it as the default for new messages and/or replies/forwards.
